IT inquiry workflow pilot.
Organize one recurring request type. Prepare a reply. Keep the decision with your team.
The starting point
Choose one inquiry type with a repeatable process, approved source information and a person responsible for reviewing the result.
Deliverables to agree
- Workflow brief: current process, chosen request type, sources, boundaries and reviewer.
- Bounded prototype: organized request, draft reply and exception handoff.
- Evaluation record: representative examples, corrections, exceptions and comparison with the baseline.
- Operating guidance: review instructions, ownership and next-step recommendations.
How the pilot works
Define: agree on the request type, sources, owner, baseline, and review criteria. Build: inspect a scoped prototype and review representative cases. Decide: use the evaluation record to revise, expand, or stop.
What to agree before starting
The written proposal specifies deliverables, approved access, responsibilities, fees, payment terms, dates, evaluation criteria, and any support after handover. Tool connections and production changes must be listed explicitly.
Prepare for the conversation
Bring anonymized examples, approved service notes, the tools involved and your definition of a useful result. Include requests that should be escalated.
Review boundaries
People approve replies and retain pricing, availability and access decisions. Integrations are assessed and explicitly scoped. Agree on tool compatibility, scope, fees, schedule, and evaluation criteria before work begins.
